What is Fleetio?

The Fleet Maintenance Platform That Gets Maintenance Right

Fleetio was founded in 2012 in Birmingham, Alabama, with a clear focus: fleet maintenance management done properly. While Samsara and Geotab compete to be the all-in-one connected fleet platform, Fleetio took the opposite approach. It is the maintenance layer that sits on top of whatever GPS system you already have. That focus shows in the product.

Service history is comprehensive. Every vehicle has a complete maintenance record—oil changes, tire rotations, brake replacements, recalls, warranty repairs, and unscheduled repairs—all logged with dates, mileage, labor hours, parts costs, and technician notes. Inspection forms are configurable. You can build DVIR templates, safety checklists, or custom inspection forms that field staff complete on mobile. Failed items automatically create work orders.

Preventive Maintenance That Actually Prevents Things

The PM scheduling is genuinely smart. You can trigger preventive maintenance by time interval, mileage, engine hours, or a combination. When a threshold approaches, Fleetio generates a work order and notifies the right person. The system tracks what percentage of PM is completed on time—a key metric that most fleet managers do not have visibility into. Over time, this data lets you calculate true cost-per-mile for each vehicle and identify which assets are absorbing disproportionate maintenance spend.

Cost tracking is detailed. Parts inventory management lets you track stock levels, reorder points, and parts usage by vehicle. The total cost of ownership report shows acquisition cost, maintenance spend, fuel cost, and depreciation in one view. When it is time to make replacement decisions, the data is already there.

GPS Integration Instead of GPS Competition

Fleetio integrates with over 40 GPS and telematics providers—Samsara, Geotab, Verizon Connect, Motive, Teletrac Navman, and many others. Location data, odometer readings, and engine hours flow automatically from the GPS system into Fleetio, keeping maintenance records current without manual entry. This is the right architecture for operators who already have a GPS system they like but need a better maintenance layer on top.

Where Fleetio Falls Short

Fleetio is not a GPS solution. If you need real-time tracking, ELD compliance, or driver monitoring as your primary need, look elsewhere. Advanced reporting is gated behind higher pricing tiers. The compliance tools for heavy trucking (IFTA, DOT inspections) are less mature than Motive.

Who Should Buy Fleetio

Any fleet operator from 5 to 500 vehicles that takes maintenance seriously. Service companies, municipalities, construction fleets, and rental companies all get strong value.
