Security That Actually Impresses

Box Shield is the standout feature. It uses machine learning to automatically classify sensitive content — PII, financial data, health records — and applies access policies without manual tagging. Smart Access controls prevent downloading or sharing based on content sensitivity. The activity stream logs every action on every file. For a CISO who needs to prove data governance to regulators, Box is a compelling pitch.

Box Relay and Workflow

Box Relay handles document-centric workflows: approval chains, review cycles, content publishing. It's not as powerful as dedicated BPM tools, but for "route this contract through legal, finance, and executive approval," it works. Box Sign provides native e-signatures. Box AI (launched 2023) summarizes documents and answers questions about file content.

The Trade-offs

Collaboration is decent but not exceptional. Box Notes exists but nobody chooses it over Google Docs or Notion. Real-time co-editing in Office files works through the Microsoft 365 integration but occasionally glitches. Pricing at $15-$47/user/month is steep for organizations that don't need the security features. And the free plan caps at 10 GB with 250 MB file size limits — barely useful for evaluation.
